Announcing a death: to whom, how, and what to write

Finding the words to say that someone has died is one of the hardest things there is. There is no perfect formula, but there is an order, and a few sentences that help.

The essentials

Inform the closest people first, in person or by phone, then the wider family and friends, and finally the employer and acquaintances. A simple message is enough: who has died, when, and how to reach the family. Funeral details can follow in a second message.

The steps, in order

  1. 01

    The closest, in person

Spouse, children, parents, brothers and sisters: by phone or in person, never by written message if you can avoid it.

  2. 02

Name people to pass on the news

One or two trusted people each inform a circle: the family on one side, friends on the other. It spares you from repeating the news.

  3. 03

The message to family and friends

For example: "It is with great sadness that we announce the death of [first name], on [date]. We will let you know the date of the funeral. Thank you for your thoughts."

  4. 04

    Inform the employer

A more formal message: "I am writing to inform you of the death of [first and last name], on [date]. The family will send you the funeral details." The employer also needs the death certificate or record for its own formalities.

  5. 05

    The death notice

In a newspaper or online: the name of the deceased, their dates, the names of those announcing it, the place and time of the funeral, and the family's wishes (flowers, donations, private ceremony).

  6. 06

    Social networks, last

Wait until loved ones have been told: no one should find out from a post. A single message, written or approved by the family.

Frequently asked questions

Can you announce a death by text message?

For the closest people, a call is better. For friends and acquaintances, a written message is accepted, and often easier to send.

What should a death notice include?

The name of the deceased, their dates of birth and death, the names of those announcing it, the place and time of the funeral, and the family's wishes, such as "no flowers".

How do you tell a child?

With simple, true words suited to their age: "he died" rather than "he fell asleep", which can be frightening. Stay available for their questions, even later.

Should organisations be informed in writing?

Yes, but not right away: the bank, insurers and pension funds are informed in the following weeks, with the death record.
